Operations Director
Position Summary
The Operations Director is responsible for overseeing the museum’s daily operations, volunteer program, and digital infrastructure, including Shopify and related systems. This role ensures efficient internal processes, strong volunteer engagement, accurate data management, and seamless coordination of events, memberships, and administrative functions.
Reports to: Board of Directors, Executive Director Pat Macias
Compensation & Time: $54,840 – $60,560, commensurate to experience - 40 hours per week
Work Location: Hybrid, with some weekend and evenings required

Key Responsibilities
Operations Management

Oversee day-to-day organizational operations, ensuring efficiency and alignment with the museum’s mission

Manage facility needs, including maintenance, repairs, and vendor coordination

Oversee inventory and purchasing of supplies for events, exhibitions, and general operations

Track and manage contracts, rentals, leases, and required documentation (e.g., W9s, liability waivers, insurance)

Coordinate event logistics, including scheduling, staffing, and operational support
-
Maintain and update the organization’s shared events calendar
-
Operate front desk and manage event staffing through volunteer coordination
-
Delegate tasks to support staff as needed and collaborate with leadership on operational priorities
Volunteer Program Management

Lead all aspects of volunteer coordination, including recruitment, onboarding, training, and retention

Develop and implement strategies to attract and engage volunteers
-
Schedule and manage volunteer coverage for events and front desk operations
-
Maintain accurate volunteer records, schedules, and contact information
-
Facilitate regular volunteer communication, including weekly email reminders and updates
-
Conduct orientation sessions and ongoing training to ensure volunteers are informed and prepared
-
Address volunteer concerns and foster a positive, inclusive volunteer experience

Track volunteer hours and prepare reports on engagement and impact
Digital Operations & Shopify Management

Manage and maintain Shopify platform, including POS and website functionality

Create and update products for event ticketing, memberships, and fees
-
Maintain accurate product listings

Generate sales, payment, and analytics reports as requested

Create promotional tools such as discount codes
-
Monitor transactions for accuracy and potential fraudulent activity
-
Monitor and maintain customer data accuracy, including resolving duplications

Process refunds as needed in coordination with Financial Manager and Executive Director

Maintain internal documentation for systems and processes and communicate updates to relevant staff and volunteers verbally and in writing

Troubleshoot and resolve basic system, software, or hardware issues
Membership & Data Management

Track and manage membership records, renewals, and expirations

Conduct outreach to lapsed members via email and phone
-
Ensure accurate capture and reporting of membership transactions

Maintain attendance records and donor data
-
Prepare monthly reports on membership statistics and engagement
Qualifications
Education & Experience
-
Bachelor's-level degree required
-
Experience in nonprofit operations, volunteer coordination, event management, or a related field preferred
Skills & Competencies

Strong organizational and project management skills with attention to detail

Excellent interpersonal and communication skills and the ability to engage with people of diverse backgrounds

Ability to manage multiple priorities and work independently

Proficiency with digital tools and platforms, including Shopify, Google Workspace, and Microsoft Office Suite
